Clear expectations create better campaigns.
Understand what we do, how outreach works, what results mean, who pays, how plans are structured, and what we need from every expert.
About the service
We represent credible experts for relevant third-party appearances, including podcast interviews, speaking engagements, media conversations, panels, webinars, virtual summits, workshops, and educational events. We handle positioning, research, outreach, follow-up, and booking coordination.
The service is designed for founders, executives, authors, coaches, consultants, educators, researchers, professional speakers, and subject-matter experts with a clear area of authority and useful audience value.
It is an expert appearance booking and outreach agency. Media interview outreach can be part of the service, but we do not automatically provide the full range of corporate PR, crisis communications, award submissions, influencer marketing, or reputation management.
Expert Appearances is the broader brand built from the systems, team, proof, and client experience of Podcast Guest Agent. Podcast booking remains a core specialty.
Process and outreach
You complete a profile or strategy inquiry covering expertise, goals, target audiences, preferred platforms, topics, proof, availability, and boundaries. We then confirm fit and the best campaign structure.
No mass email blasts. Researchers and outreach specialists review the opportunity and personalize the context. Internal systems may help organize records, deadlines, and status, but fit and messaging decisions remain human-led.
No. Podcast hosts, conference applications, journalists, associations, panels, and webinars require different information and communication styles. We adapt the outreach to the platform and published requirements.
Every target and contact is recorded in a shared campaign tracker with client, status, history, and ownership information. Team workflows include duplicate checks before outreach.
Campaigns can be configured for target-list approval, criteria-based approval, or direct outreach within agreed boundaries. Most clients prefer criteria-based operation to avoid delaying every message.
Bookings and results
We commit to the research, outreach, follow-up, and coordination in your plan. Final acceptance belongs to the host, producer, journalist, or organizer, so we cannot guarantee a specific platform will book you.
It is a campaign planning target based on outreach volume, niche, and previous experience, not a promise. Actual results vary with positioning, availability, target criteria, timing, and external decisions.
Podcast responses may arrive within days or after follow-up. Speaking selections can take weeks or months. Media timelines range from same-day source requests to planned editorial calendars. Timing depends on platform and campaign.
We record the cancellation, help reschedule where appropriate, and continue the campaign. A canceled interview is not the same as a completed appearance and may be treated differently under pay-per-booking terms.
No. We research available audience and activity signals, but third-party numbers are often incomplete. Hosts control publication, and business outcomes depend on many factors beyond the booking.
Hosts and ethics
No. Experts hire us for representation. Hosts and organizers are never charged to receive, consider, or book a guest and have no obligation to accept anyone.
No. Standard campaigns exclude paid editorial placement and pay-to-play podcast interviews. Opportunities should be earned through fit and value.
Yes. We record clear declines and do-not-contact requests. Respectful follow-up may happen when no answer is received, but a direct no should end the pitch.
We should not. Client positioning must be supported by real experience, credentials, evidence, or firsthand knowledge. Media outreach also requires clear subject boundaries.
Pricing and terms
Current monthly plans begin at $50 for 70+ personalized outreaches and scale to $400 for 600+ personalized outreaches. Detailed targets and inclusions are shown on the pricing page.
Yes. The current option is $20 per confirmed podcast booking, subject to campaign fit and agreed definitions.
No. Those campaigns have different research depth, deadlines, application requirements, and lead times, so they receive a custom scope.
Podcast plans can be month-to-month unless a written proposal states otherwise. Custom campaign terms are agreed before work begins.
Available international payment options are confirmed during onboarding. The invoice and due date are provided before a campaign starts.
Client readiness
At minimum: a clear area of expertise, short biography, website or credible profile, headshot, topic ideas, audience value, availability, and willingness to respond promptly. Existing interviews or speaking clips help but are not always required.
Yes. Positioning and booking assets are part of the process. We refine clarity and relevance but do not invent credentials, outcomes, or experience.
For remote podcasts and media, a reliable internet connection, quiet environment, headphones, and a good external microphone are strongly recommended. Video opportunities also benefit from quality lighting and camera framing.
Campaign momentum slows, and interested hosts may move on. Repeated missed interviews or unresponsiveness can lead to campaign pause or closure to protect relationships.
